About the Role

We are seeking a detail-oriented, proactive, and client-focused individual to join our team as a Client Service Associate. This role is critical to ensuring that every client experiences seamless service and operational excellence.  The Client Service Associate will work closely with wealth strategists and the client service team to deliver high-quality support across client onboarding, account maintenance, money movement, and ongoing relationship management. This role requires balancing back-office precision with front-line responsiveness—helping clients feel cared for at every step.  The ideal candidate will combine strong organizational skills with a genuine passion for client service, thriving in a collaborative team environment while managing multiple priorities with professionalism.

While this role can be fully remote, it is preferred that the candidate be available to work in our NY office 2 days per week.

Duties and Responsibilities include:

  • Coordinate and manage the end-to-end client onboarding process, ensuring accuracy and efficiency.
  • Prepare and update client financial documents (balance sheets, cash flow statements, performance reports).
  • Execute and track money movement requests, including contributions, distributions, and transfers, in compliance with custodial and regulatory standards.
  • Track and manage checks received and checks processed in compliance with the company and broker dealer standards.
  • Process account applications, beneficiary changes, and other custodial updates.
  • Proactively assist clients with paperwork, including and not limited to rollovers, applications, distributions, contributions, suitability forms and broker dealer paperwork, in a timely manner.
  • Troubleshoot and reconcile daily custodial alerts, ensuring data integrity.
  • Assist with insurance-related tasks such as running quotes and processing applications.
  • Manage and maintain accurate client records in CRM and custodial platforms.
  • Generate internal reporting.
  • Liaise with custodians, accountants, attorneys, and insurance carriers to support client needs.
  • Support advisors in preparing materials and executing follow-up from client meetings.
  • Build and maintain a deep understanding of client process needs, as well as industry trends, best practices and solutions.
  • Perform office/administrative tasks in the absence of the administrative assistant.

  • Strong organizational skills, attention to detail, and follow-through.
  • Proficiency with Microsoft Office and CRM systems preferred.

 

Background:

  • Bachelor’s degree or equivalent professional financial service industry experience preferred.
  • Conduct consistent with highest level of integrity and confidentiality.
